Roles & Responsibilities
Position Overview:
The Secretary – Tender Committee will play a crucial role in coordinating all activities related to the Tender Committee at the steel plant. This includes organizing meetings, maintaining accurate records, ensuring compliance with internal tendering procedures, and supporting transparent and eƯicient procurement processes. The role demands confidentiality, attention to detail, and strong coordination skills.
Key Responsibilities:
Committee Coordination:
o Organize and schedule Tender Committee meetings and circulate agendas in advance.
o Ensure timely submission and review of tender documents by relevant stakeholders.
o Follow up with committee members for approvals and feedback.
Documentation & Records:
o Prepare and maintain minutes of all Tender Committee meetings.
o Maintain organized and updated records of all tender-related correspondence and decisions.
o Ensure all tender documents are complete, accurate, and stored securely (both physical and electronic).
Compliance & Governance:
o Ensure all tender processes are conducted in accordance with the company’s procurement policy and applicable regulations.
o Track and monitor the status of tenders, approvals, and contracts to ensure compliance.
Communication & Liaison:
o Act as a point of contact between vendors, internal departments, and Tender Committee members.
o Coordinate with legal, finance, and technical teams for necessary inputs in the tendering process.
Reporting:
o Assist in preparing regular reports on tender status, bid evaluations, and awarded contracts.
o Highlight delays or non-compliance issues to the Tender Committee Chairman or higher management.
Desired Candidate Profile
Education: Bachelor’s degree in business administration, Management, or related field.
Experience: Minimum 3–5 years of relevant experience, preferably in a steel plant, manufacturing, or industrial environment.
Knowledge: Familiarity with tendering procedures, procurement regulations, and contract management.
Skills:
o Excellent verbal and written communication skills. o Proficient in MS Office (Word, Excel, PowerPoint).
o Strong organizational and time-management skills. o Ability to handle sensitive information with discretion.
Preferred Qualifications:
Experience working with ERP systems (SAP / Oracle / similar).
Ability to work under pressure and meet tight deadlines.
