Job Description
Roles & Responsibilities
. Office & Administrative Management
- Handle day-to-day administrative operations, including correspondence, filing, document management, and office supplies.
- Maintain a well-organized and safe office environment in compliance with QHSE (Quality, Health, Safety & Environment) standards.
- Coordinate meetings, appointments, and travel arrangements for management and project staff.
- Manage incoming and outgoing communication, courier, and mail distribution.
2. Project & Document Support
- Assist in maintaining project-related documentation such as drawings, transmittals, approvals, and correspondence.
- Work closely with document control and engineering teams to ensure accurate and timely documentation flow.
- Maintain registers for project documentation, vendor records, and contractual documents.
3. Procurement & Logistics Coordination
- Support procurement by preparing purchase requisitions, obtaining quotations, and coordinating with suppliers and contractors.
- Track material deliveries, invoices, and ensure timely follow-up with vendors.
- Arrange logistics for personnel and materials between office, site, and client facilities.
4. HR & Compliance Assistance
- Maintain employee attendance, leave records, and timesheets for office and project staff.
- Support HR with onboarding, induction, and mobilization/demobilization processes for employees and subcontractors.
- Ensure administrative activities comply with company standards, legal, and regulatory requirements.
5. Financial & Reporting Responsibilities
- Assist in managing petty cash, office expenses, and administrative cost tracking.
- Prepare periodic administrative and logistics reports for management.
Desired Candidate Profile
- Bachelor’s Degree in Business Administration, Management, or related discipline.
- Minimum 10–15 years of experience in administration within EPC, construction, or oil & gas projects.
- Familiarity with project documentation systems and ERP tools (SAP, Aconex, SharePoint, or equivalent).
- Strong understanding of procurement and logistics workflows in EPC environments.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
