Job Description
Roles & Responsibilities
The Senior Executive Assistant plays a crucial role in facilitating smooth daily operations by providing comprehensive administrative support to top-level executives. This position requires a highly organized individual who can handle confidential materials with the utmost discretion. The successful candidate will anticipate the needs of executives and take ownership of tasks with minimal supervision. As a Senior Executive Assistant, you will act as a partner to executives and be responsible for managing schedules, coordinating meetings, and ensuring that all executive obligations are met with precision and timeliness. Your role will be critical in streamlining processes and contributing to the overall efficiency of the executive team. Through strong interpersonal and communication skills, you will serve as a critical liaison between executives and internal/external stakeholders.
Responsibilities
- Coordinate and manage detailed executive calendars, prioritizing meetings based on urgency and importance.
- Organize and prepare materials required for meetings, ensuring executives are well-prepared in advance.
- Serve as the primary point of contact and communication liaison for executive-level interactions.
- Maintain and handle sensitive information with the highest level of confidentiality and integrity.
- Strategically plan and arrange domestic and international travel, including itineraries and accommodations.
- Facilitate effective communication and collaboration among executive team members and departments.
- Oversee special projects and prepare reports as required by the executive leadership.
- Manage and coordinate office resources, supplies, and services effectively and efficiently.
- Assist in drafting and editing various documents, including reports, presentations, and correspondence.
- Develop, analyze, and maintain filing systems to ensure complete and accurate record-keeping.
- Anticipate and address the executives' needs ahead of deadlines to ensure smooth operations.
- Support the planning and coordination of high-level business events and company meetings.
Requirements
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
- A minimum of 5 years' experience supporting C-suite executives in a fast-paced environment.
- Exceptional organizational and multitasking skills with high attention to detail.
- Superior writing and verbal communication skills are essential for the position.
- Proficiency in Microsoft Office Suite and other business-related software applications.
- Ability to manage sensitive and confidential information with professionalism and discretion.
- Demonstrated problem-solving skills with the ability to make decisions independently.
