Job Description

Roles & Responsibilities

1. Fleet Management

  • Maintain accurate records of all company vehicles, registrations, and service schedules.
  • Coordinate vehicle assignments and usage with various departments.
  • Oversee regular maintenance and ensure timely repairs and servicing.
  • Track vehicle insurance, renewals, and ensure compliance with RTA and traffic regulations.
  • Monitor fuel usage and vehicle logs to optimize fleet efficiency.

2. Staff Attendance Management

  • Supervise daily attendance records of all employees.
  • Compile and submit monthly attendance reports to HR and Payroll.
  • Coordinate with supervisors to resolve attendance discrepancies or irregularities.
  • Maintain leave records and ensure accurate input into HR systems.

3. Visa & PRO-Related Tasks

  • Coordinate with PROs for visa processing, renewals, cancellations, medicals, and Emirates ID procedures.
  • Track visa expiry dates and ensure timely renewal or cancellation as required.
  • Assist in preparing documents for visa applications and labor-related processes.
  • Maintain records of all employee-related government documentation.
  • Liaise with government departments such as MOHRE, GDRFA, and other relevant authorities when needed.

4. General Administrative Support

  • Maintain employee files and ensure documentation is up-to-date.
  • Coordinate with HR and other departments for onboarding and offboarding processes.
  • Assist in audits, compliance checks, and internal reporting requirements.
  • Perform other administrative duties as assigned by the management.

Desired Candidate Profile

  • Minimum 3 years of experience in the same field
  • Proficient in MS Office (Excel, Word, Outlook).
  • Strong organizational and multitasking abilities.
  • Excellent communication skills in English (Arabic is an added advantage).
  • Valid UAE driving license (preferred but not mandatory).
