Job Description

Roles & Responsibilities

  • Manage day-to-day administrative operations in line with the company requirement

  • Coordinate closely with PRO for visa processing, renewals, Emirates ID, labor cards, and other government-related matters

  • Handle employee insurance (medical & other policies), including preparation and renewals

  • Maintain and update employee records, HR documentation, and filing systems

  • Assist in recruitment processes, including screening candidates, scheduling interviews, and drafting job descriptions

  • Prepare reports, presentations, and meeting minutes as required

  • Organize meetings, set up conference rooms, and coordinate schedules

  • Manage office supplies, vendor coordination, and general office upkeep

  • Arrange travel bookings (flights, hotels, transportation) for staff and management

  • Handle incoming calls, emails, and correspondence, and route them appropriately

  • Greet and assist visitors in a professional manner

  • Support accounts team in bookkeeping entries, updating financial statements, and maintaining accounts payable and receivable records

Desired Candidate Profile

  • Bachelor’s Degree in Business Administration, HR, Accounting, or related field

  • 2–5 years of UAE experience in Admin/HR role

  • Strong knowledge of UAE Labor Law and administrative procedures

  • Experience coordinating with PROs for visas, licenses, and official documentation

  • Basic accounting knowledge (bookkeeping, AP/AR)

  • Familiarity with insurance policies and renewal processes

  • Excellent organizational and multitasking skills

  • Strong communication and interpersonal skills

  • Proficient in MS Office (Word, Excel, PowerPoint)

  • Professional, presentable, and detail-oriented
