Job Description
Roles & Responsibilities
1. Office Administration
- Oversee daily office operations to maintain a clean, organized, and efficient workspace.
- Manage office supplies, equipment, and inventory levels.
- Coordinate with vendors, facility management teams, and service providers for contracts, services, and invoices.
- Handle office maintenance requests and ensure timely resolution.
2. Internal Event Coordination
- Plan and coordinate internal events, including team meetings, celebrations, workshops, and office activities.
- Manage event logistics such as venue arrangements, communication, vendor coordination, and materials.
3. Travel Management
- Arrange domestic and international travel including visas, flights, hotel bookings, transportation, and itineraries.
- Ensure all travel arrangements comply with company policies and timelines.
- Maintain accurate travel records and support employees with expense documentation.
4. Employee Onboarding & Documentation
- Assist HR in executing seamless onboarding processes for new employees.
- Prepare onboarding kits, arrange workspace setup, and coordinate orientation activities.
- Maintain up-to-date employee files, records, and documentation.
- Support HR in issuing letters, contracts, and employment updates.
5. Visa & PRO Coordination
- Coordinate visa applications, renewals, cancellations, and all government-related documentation.
- Liaise with PRO to ensure timely submission and completion of paperwork.
- Maintain and update the employee visa tracker, monitoring expiry dates and compliance.
6. Reception & Front Desk Management
- Manage front-desk activities including welcoming visitors, handling phone calls, and addressing inquiries.
- Maintain a professional and welcoming reception area.
- Handle incoming and outgoing mail, courier services, and general communications.
Desired Candidate Profile
Must Have
- Bachelor s degree required.
- 10+ years of experience in administration or office management (preferred).
- Strong organizational, coordination, and multitasking skills.
- Excellent verbal and written communication abilities.
- Proficiency in MS Office applications (Word, Excel, Outlook).
- Knowledge of visa procedures and PRO coordination is an added advantage.
- Ability to build strong internal relationships and handle confidential information with discretion.
