Roles & Responsibilities
We are seeking a highly organized, dependable, and detail-oriented Remote Administrative Assistant to support our growing operations across the MENA region, including the UAE, Qatar, and Saudi Arabia.
This role is ideal for individuals who enjoy structured work, maintaining organized systems, and ensuring information is accurate and accessible. As part of our remote operations team, you will support daily administrative processes, coordinate workflows, maintain records, and help improve operational efficiency through strong attention to detail and consistency.
No extensive professional experience is required. We provide training and onboarding support, making this an excellent entry-level opportunity for candidates looking to build a career in administration, operations support, data management, or workflow coordination.
Key Responsibilities Administrative Data Management
Maintain accurate and organized records to support internal operations and reporting.
Responsibilities include:
- Updating and maintaining spreadsheets and internal databases using Google Sheets or Microsoft Excel
- Reviewing records for completeness, consistency, and accuracy
- Standardizing information across datasets and documentation
- Identifying duplicate entries, errors, inconsistencies, and missing information
- Flagging incomplete records for review and follow-up
- Maintaining organized file structures and naming conventions
- Tracking updates, corrections, and data changes
- Supporting reporting processes through reliable record management
Workflow & Task Coordination
Support administrative workflows and help ensure tasks are completed efficiently.
Responsibilities include:
- Reviewing and categorizing incoming requests
- Assigning or routing tasks according to established processes
- Monitoring task progress and completion status
- Following up on overdue or incomplete items
- Maintaining accurate workflow documentation
- Communicating clearly when clarification or additional information is required
Tracking, Reporting & Documentation
Help maintain visibility across operational activities through accurate tracking and reporting.
Responsibilities include:
- Updating operational trackers and status logs
- Recording daily activities, updates, and identified issues
- Preparing progress summaries and reports as needed
- Monitoring recurring process gaps or data quality concerns
- Escalating workflow issues when appropriate
- Supporting internal reporting with organized documentation
Scheduling & Administrative Support
Provide coordination assistance to help teams meet deadlines and operational milestones.
Tasks may include:
- Confirming availability across teams
- Updating calendars and schedules
- Sending reminders for deadlines and required actions
- Tracking onboarding progress and checklist completion
- Supporting internal coordination efforts
Quality Assurance
Maintain high documentation and administrative standards across systems and processes.
Responsibilities include:
- Reviewing work for accuracy and compliance before submission
- Maintaining organized folder structures and document standards
- Ensuring files remain accessible and easy to locate
- Supporting updates to internal process documentation
- Following established Standard Operating Procedures (SOPs)
