Job Description

Roles & Responsibilities

Key Responsibilities

Operational Cadence & Execution (85%)

  • Own weekly leadership syncs, quarterly planning cycles, and cross-entity coordination rhythms.

  • Drive critical workflows to completion: licensing, accreditation, facility readiness, vendor onboarding.

  • Ensure aggressive timelines are met across TC, TPL, and Sundial - nothing falls through the cracks.

  • Run meetings on behalf of leadership. Manage external stakeholders. Make decisions without needing to escalate.

  • Build operational SOPs that scale with the organisation.

  • Track progress against milestones and flag blockers before they become problems.

  • Coordinate core team functions in business intelligence, business development, and management

People Operations & Culture (15%)

  • Assist the MD with the hiring pipeline: job postings, recruiter coordination, interview scheduling, candidate tracking, offer management.

  • Build onboarding infrastructure that gets new hires productive fast.

  • Codify company culture - values, rituals, recognition - so it scales beyond the founders.

  • Maintain HR documentation and employee lifecycle/management processes.

Performance Indicators

  • Licensing and accreditation milestones achieved on schedule.

  • Leadership meetings run efficiently with clear outcomes and follow-through.

  • Hiring pipeline healthy: roles filled within target timelines, zero dropped candidates.

  • Cross-entity projects delivered on time and to specification.

Desired Candidate Profile

Skills & Experience

  • 5-7 years in operations, strategy, or chief of staff roles. A startup or high-growth environment is strongly preferred.

  • Experience managing cross-functional projects and people.

  • Proven ability to build systems from scratch and operate with minimal supervision.

  • Obsessive attention to detail. Relentlessly reliable.

  • Strong written and verbal communication.

  • Proficiency with modern productivity tools (Notion, Asana, Google Workspace, Slack).

Cultural Alignment

Execution-obsessed. Thrives in ambiguity and creates order from chaos. Takes ownership like a founder but has the humility to do whatever needs doing
