Job Description
Roles & Responsibilities
Job Title: Document Controller
Department: Projects / Administration
Location: Dubai
Experience Required: 5–7 Years (Construction Industry)
Job Purpose:
To manage, control, and maintain all project and company documents in an organized, secure, and systematic manner—ensuring easy retrieval, compliance with company and client standards, and timely distribution to relevant stakeholders.
Key Accountabilities:
- Maintain and manage all incoming and outgoing project documents (both electronic and hard copies).
- Register, track, and update project documentation accurately in the document control system.
- Ensure proper formatting, numbering, and version control for all documents.
- Distribute relevant documents to project teams, consultants, and clients in line with project procedures.
- Ensure confidentiality and security of sensitive project and company documentation.
- Archive completed project files systematically to enable easy access and reference.
- Prepare and maintain regular reports on document status, revisions, and pending approvals.
- Support project teams in document retrieval, compliance, and submission requirements.
- Ensure all documentation meets internal quality standards and client-specific requirements.
- Follow up with internal and external stakeholders to ensure timely submission and response to documentation.
Desired Candidate Profile
Qualifications and Skills:
- Bachelor’s degree or diploma in Administration, Engineering, or a related field.
- Proven experience as a Document Controller, preferably within construction or engineering companies.
- Strong knowledge of Document Management Systems (DMS) such as Aconex or similar platforms.
- Proficient in MS Office (Word, Excel, Outlook) and other document control tools.
- Excellent organizational skills and strong attention to detail.
- Good verbal and written communication skills in English.
- Ability to manage multiple priorities, work under pressure, and meet tight deadlines.
- Experience handling transmittals, submittals, RFIs, reports, registers, and logs.
- Experience dealing with clients and consultants in reputed contracting companies.
Experience:
- Minimum: 5–7 Years in the Construction Industry, preferably with reputed contracting or engineering firms
