Job Description

Roles & Responsibilities

Calendar & Time Management

• Manage and maintain the CEO’s calendar, appointments, and meetings.
• Prioritize engagements and commitments, ensuring strategic alignment.
• Coordinate with internal departments to avoid scheduling conflicts.

Communication & Correspondence

• Handle incoming email, calls, messages—filter, prioritize, and respond or redirect appropriately.
• Draft, proofread, and edit correspondence, reports, presentations, and memos.
• Maintain relationships with internal teams, board members, stakeholders, partners.

Meetings & Events

• Prepare agendas, documents, presentations for meetings.
• Take minutes and ensure action items are followed up.
• Coordinate logistics for meetings, both in-house and external (venues, catering, equipment).
• Organize Board, EXCOM or Management Committee meetings and retreats or off-site sessions if applicable.

Travel & Logistics

• Plan and book travel: flights, hotels, ground transport, visas, itineraries.
• Ensure smooth logistics for CEO’s travel and external engagements.
• Prepare travel packs with necessary briefings, documentation.

Project Support & Research

• Assist with special projects as assigned by the CEO; coordinate tasks, follow up on deliverables.
• Conduct research and prepare reports, data summaries or dashboards as required.
• Provide support for strategic initiatives and help ensure deadlines are met.

Board & Governance Support

• Assist in preparation of Board meeting materials, minutes, follow-ups.
• Liaise with Board members, organize logistics for Board sessions.

Confidentiality & Representation

• Handle sensitive information with discretion.
• Serve as a gatekeeper / first point of contact for CEO; manage internal & external contacts accordingly.
• Represent CEO’s office professionally in all interactions.

Administrative & Office Duties

• Maintain organized filing systems—both physical and digital.
• Manage expense reports, reimbursements, and corporate credit card usage if needed.
• Oversee subscriptions, memberships, licenses under CEO’s purview.
• Maintain contact lists, databases.
• Provide backup support to other senior executives when needed.

Desired Candidate Profile

Education

Any Bachelor’s degree, Management, or related field. Higher education (e.g., MBA, Diploma) is a plus.

Experience

Typically 2–8+ years supporting C-level executives or senior leadership in a fast-paced, high-demand environment. Experience in Dubai or the GCC is beneficial.

Language Skills

Fluency in English (verbal and written). Any other language is a plus.

Technical Skills

Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook); comfortable using productivity tools, virtual meeting platforms. Ability to learn proprietary or ERP systems.

Interpersonal Skills

Excellent communication and interpersonal skills. Strong judgement, professionalism, and the ability to interact with board members, executives, staff.

Organizational & Time Management

Extremely organized, detail-oriented, able to multitask, prioritize under pressure.

Proactive & Discretion

Anticipate needs, act without constant direction. Maintain confidentiality and sensitivity in all tasks.

Cultural Fit

Understanding of local business culture, protocols, and professionalism. Adaptability, flexibility, and business etiquette.
