Job Description

Roles & Responsibilities

Job responsibilities:

  • Design review from FM and operational point view for the new projects, follow the construction progress including material submittals and shop drawings review, receive the projects close out documents, review and verifications (handover documents), take over the new building as end-user and start the FM and operations
  • Managing the refurbishment/ renovations projects, corrective maintenance projects for existing building.
  • Prepare the scope of work for any maintenance/ refurbishment projects from specs, BOQ, RFP... etc.
  • Managing, supervisions & monitoring of the security services contracts, Cleaning services contract and the TFM services contracts (maintenance, pest control, cleaning, landscaping).
  • Managing, supervisions & Monitoring of the Student transportations & nannies services contract.
  • Managing, supervisions & monitoring of the catering services contracts.
  • Managing and supervisions of the waste management services contracts.
  • Following the school licenses renewal process.
  • Coordination and following with all related authorities (Civil defense, Municipality, MOE, MOH ... etc.).
  • Prepare, manage and monitor the annual maintenance plans for the assets and buildings, Long-term maintenance plans, future development plans.
  • Assets management includes assets from assets register, assets conditions survey, update inventory, and prepare poor assets replacements plans.
  • Prepare and manage the annual budget, provide the financial performance report.
  • Following and managing the process of the invoices and payments for all contractors/service providers.
  • Improvement and development of new facilities designs, specs & values based on the concept of FM operational requirements.
  • Managing and supervision & Monitoring of the QHSE programs for building, facilities and users.
  • Managing and supervision & Monitoring of the annual assets PPM (planned preventive maintenance).
  • Supervising & Monitoring the performance, operation of HVAC systems, electrical system, low current systems, Civil and fabric system... etc.
  • Supervise and provide all supports and organization services required for the events.
  • Supervise & monitor the CCTV system operation & maintenance.
  • FM & Assets management programs.
  • Following and coordination s with technical team of MOPA projects departments.
  • Supervise Resource Planning Program for Facility Management.
  • Prepare and supervise risk management and assessment programs for facilities
  • Projects management programs; Professional development programs
  • Managing and preparing policies & Procedures for FM, Assets management &, student support services, and evaluating and improving them.
  • Facilities environment assessment
  • Compliance with local and international regulations and laws.
  • Coordinate and follow-up facilities rental.
  • Monitoring and supervision of pool readiness and safety.
  • Monitor the performance of utilities in terms of energy and water consumptions, ensure to provide programs to rationalize energy consumption; and follow up the monthly electricity and water bills with the relevant authority.
  • Fixed asset management (furniture, IT, vehicles, etc.) and monitor the annual condition assessment and inventory, asset replacement plans and procedures
  • Managing staff transportation through school vehicles (owned / rental) and drivers.
  • Any other business or service needs, requirements & tasks assigned by the head of Department.
