Job Description

Roles & Responsibilities

The Leasing Administrator will support the leasing department with the preparation, documentation, coordination, and administration of leasing activities. The role ensures accurate record-keeping, effective tenant communication, and smooth execution of leasing processes.


Key Responsibilities

1. Lease Documentation & Administration

  • Prepare, review, and process lease agreements, renewals, amendments, and termination documents.

  • Maintain and update tenant files, lease records, and relevant documentation in the system.

  • Ensure all leasing documents comply with company policies and legal requirements.

2. Tenant Coordination & Support

  • Serve as a primary point of contact for tenant inquiries regarding lease terms, payments, renewals, and documentation.

  • Coordinate with tenants for collection of required documents and signatures.

  • Assist in resolving tenant concerns or directing them to the relevant department.

3. System & Data Management

  • Update leasing-related data in CRM or property management software.

  • Track lease expiries, renewals, and pending documentation.

  • Generate leasing reports as required by management.

4. Financial & Administrative Support

  • Prepare invoices related to lease payments, security deposits, and other charges.

  • Assist in rent collection follow-ups and payment status tracking.

  • Coordinate with finance for reconciliations related to tenants.

5. Coordination with Internal Teams

  • Work closely with property managers, leasing executives, maintenance teams, and finance.

  • Support marketing and leasing campaigns by ensuring accurate unit availability data.

Desired Candidate Profile

  1. Bachelor’s degree in Business Administration, Real Estate, or a related field.

  2. 1–3 years of experience in leasing administration, property management, or customer service.

  3. Good understanding of leasing processes and documentation requirements.

  4. Proficiency in MS Office; experience with property management software is a plus.

  5. Strong communication, organizational, and multitasking abilities.

  6. Attention to detail and ability to work in a fast-paced environment.
