Job Description
Roles & Responsibilities
The Listing Admin & Receptionist is responsible for managing front desk operations, providing administrative support, and ensuring smooth communication between clients, visitors, and internal teams. This role involves handling listing documentation, maintaining records, and delivering excellent customer service to all stakeholders.
Key Responsibilities:
Greet and assist visitors, clients, and vendors professionally and courteously.
Manage incoming calls, emails, and correspondence.
Maintain and update listing databases, ensuring accuracy and completeness.
Prepare and organize documents related to listings, contracts, and other administrative tasks.
Schedule appointments, meetings, and site visits.
Assist with data entry, filing, and record-keeping activities.
Coordinate with different departments to ensure timely processing of documentation.
Handle general administrative duties such as photocopying, scanning, and mailing.
Maintain the reception area in a neat and welcoming condition.
Support ad-hoc administrative tasks as required.
Qualifications & Skills:
High school diploma or equivalent; additional qualification in Office Administration preferred.
Proven experience as a receptionist or administrative assistant.
Excellent communication and interpersonal skills.
Proficiency in MS Office (Word, Excel, Outlook).
Organizational and multitasking abilities.
Pleasant personality with a professional demeanor.
Ability to handle confidential information discreetly.
