Job Description
Roles & Responsibilities
- Answer, screen and forward incoming phone calls
- Greet and welcome guests as soon as they arrive at the office, immediately place them to meeting room and inform to all concerned
- Provide basic and accurate information in-person and via phone/email
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Ensure to keep all meeting rooms always neat, tidy, clean and presentable
- Ensure the timely serving of Tea & Refreshments
- Maintaining the registers to record various logs and updates.
- Official In-House meetings arrangements (Weekly, Monthly, etc.)
- Perform other clerical receptionist duties such as filing, photocopying, and transcribing
- Ensure that the office Assistant regularly performs the housekeeping.
- Monitor office supplies inventory and place orders
- Co-ordination with HR Dept. for leave applications, NOC, medical bills, attendance monitoring, gate passes, car parking etc.
- Comply with all company/corporate/ISO and other relevant procedures and standards.
- Receive, sort and distribute daily mail/deliveries
- Logistical support such as providing in-house meeting arrangements, purchase orders, order tracking, consignment notes, document delivery & cheque collection, food ordering & arrangements, stationery, IT consumables, PPE and distribution etc.
