Job Description

Roles & Responsibilities

Manage and optimize complex calendars, appointments, and global travel arrangements across multiple time zones.

Coordinate international travel itineraries and logistics with attention to detail and agility.

Monitor and process expense reports, ensuring alignment with global compliance standards.

Prepare, proofread, and format executive-level communications, reports, presentations, and documentation.

Handle highly sensitive and confidential information with utmost discretion and professionalism.

Organize and facilitate meetings, including agenda preparation, logistics coordination, and minute-taking.

Serve as a key liaison between senior leaders and internal/external stakeholders across regions and functions.

Support tracking of strategic projects and follow-up on key action items.

Assist in the planning and execution of high-level events, workshops, and leadership forums.

Perform general administrative duties and contribute to continuous improvement of executive support processes.

Desired Candidate Profile

Degree or certification in Executive Assistance, Business Administration, or a related field.

10+ years of experience in an executive support role.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).

Excellent written and verbal communication skills in English. Spanish is highly valued.

Strong organizational and time-management abilities.

Ability to work independently, under pressure and manage multiple priorities effectively.

High level of professionalism, discretion, and confidentiality.

Experience with travel and expense management tools.
