Role Purpose

The Office Manager plays a pivotal role in ensuring the smooth daily operation of Safa British School. This role manages the front-facing administrative functions of the school, provides high-quality support to staff, students, and parents, and ensures all operational systems particularly iSAMS and Microsoft applications are used effectively and accurately.

The Office Manager exemplifies professionalism, confidentiality, and exceptional interpersonal skills, contributing positively to the warm, community-focused ethos of SBS.

Key Responsibilities

1. Office Administration and Coordination

  • Oversee the day-to-day running of the school office, ensuring an organised, efficient, and welcoming environment.

  • Manage office workflows, correspondence, filing systems, and documentation in line with SBS policies.

  • Coordinate calendars, appointments, and school events as required.

  • Ensure all communications, notices, and administrative outputs are accurate, timely, and professionally presented.

2. iSAMS Management

  • Generate reports, student lists, attendance summaries, and data sets for senior leaders and teachers.

  • Support staff with iSAMS functions and maintain data integrity across the system.

3. Microsoft Suite Proficiency

  • Produce high-quality documents, spreadsheets, and presentations using MS Word, Excel, PowerPoint, and Outlook.

  • Maintain shared drives and ensure documentation is structured and easily accessible.

4. Communication and Interpersonal Engagement

  • Serve as a key point of contact for parents, staff, visitors, and external partners.

  • Handle sensitive or confidential information with discretion and integrity.

5. Organisational Operations

  • Lead the organisation of whole-school events, meetings, and administrative processes.

  • Maintain systems for record-keeping, compliance, and operational communication.

6. PA to Principal

  • Diary management, communication, minute taking

Person Specification

Essential Skills and Experience

  • Proven experience in a school office or administrative setting (education sector essential).

  • Proficiency in iSAMS.

  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Use of Calendly and Canva (desirable).

  • Excellent organisational and time-management skills.

  • Outstanding interpersonal and communication skills.

  • Ability to multitask, prioritise, and work under pressure.

  • Strong attention to detail and accuracy.

  • Professional and solution-focused.

  • Understanding of data protection, confidentiality and safeguarding
