Job Description

Roles & Responsibilities

Leasing Administration

  • Prepare and process specialty leasing agreements, licenses, renewals, and amendments.
  • Maintain up-to-date tenant files, lease logs, and tracking systems.
  • Coordinate legal and finance approvals for all temporary lease documentation.
  • Monitor expiration dates and follow up for renewals or terminations.

Tenant Coordination

  • Act as the main point of contact for specialty leasing tenants.
  • Coordinate tenants move-in/move-out schedules, ensuring operational readiness and compliance with mall regulations.
  • Liaise with operations, security, and marketing teams for tenant requirements and setup.
  • Conduct space inspections before and after occupancy.

Financial & Reporting

  • Prepare specialty leasing reports, occupancy summaries, and revenue tracking.
  • Ensure timely billing, rent collection, and submission of invoices.
  • Support the Leasing Manager in achieving budgeted specialty leasing income targets, never less insure said short term contracts are aligned with overall leasing strategy and leasing manager guidelines.

Marketing & Business Development

  • Assist in identifying and prospecting potential specialty tenants and local businesses.
  • Support marketing events and seasonal leasing opportunities.
  • Maintain a database of prospective tenants and local entrepreneurs.

Compliance & Standards

  • Ensure all tenants adhere to mall standards, visual merchandising guidelines, and safety regulations.
  • Track and ensure insurance certificates, licenses, and permits are valid and compliant

The Specialty Leasing Coordinator supports the specialty leasing program by assisting in the sourcing, administration, and coordination of temporary leasing activities (kiosks, pop-ups, RMUs, short-term in-line spaces, and seasonal tenants). The role ensures smooth operations, tenant satisfaction, and compliance with company policies while maximizing specialty leasing revenue.
