Job Description
Roles & Responsibilities
The Executive Assistant will provide high-level administrative, operational, and strategic support to the Head of the function. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The individual will serve as a key liaison between the executive office and internal/external stakeholders, ensuring smooth coordination and communication across all functions.
Administrative Support:
- Manage complex calendars, coordinate meetings, and handle travel logistics (domestic and international).
- Prepare correspondence, reports, presentations, and other documents with a high degree of accuracy and confidentiality.
- Maintain records, files, and data with utmost discretion.
Communication & Coordination:
- Serve as the primary point of contact for internal teams and external partners.
- Screen and prioritize communications to ensure timely responses and effective information flow.
- Draft professional emails, meeting notes, and executive summaries as required.
Project & Operational Support:
- Assist in planning and execution of key strategic initiatives and executive projects.
- Track action items and ensure timely completion of deliverables.
- Support the preparation of materials for leadership meetings, board reviews, and offsites.
Confidentiality & Professionalism:
- Manage sensitive information with absolute confidentiality.
- Represent the executive with professionalism and integrity at all times.
Desired Candidate Profile
- Bachelor’s degree in Business Administration or related field.
- 5–15 years of experience supporting C-level executives, preferably within a multinational or fast-paced organization.
- Excellent written and verbal communication skills (English essential; Arabic a plus).
- Proficiency in MS Office Suite (Outlook, PowerPoint, Excel, Word) and collaboration tools (Teams, Zoom, Slack, etc.).
- Strong organizational, prioritization, and problem-solving abilities.
- High level of professionalism, discretion, and emotional intelligence.
- Ability to work independently with minimal supervision and manage tight deadlines.
