Job Description

Roles & Responsibilities

The Executive Assistant will plan and schedule the meetings and personal calendar for the CEO’s Office. The role will also provide a bridge or smooth communication between the CEO’s office and internal departments demonstrating leadership to maintain confidentiality, trust, and support with senior management staff.


  • Provide professional and confidential administrative and research support to the CEO and manage a variety of special projects.
  • Coordinate and maintain calendar by planning and scheduling meetings, conferences, teleconferences and ensure the CEO's schedule is followed and respected.
  • Undertake research and prepare monthly reports, presentations, corporate submissions and other correspondence for the CEO.
  • Follow-through on projects and assist in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.
  • Provide a bridge for smooth communication between the CEO’s office and internal departments, welcomes all guests and respond to their inquiries by providing information according to guidelines and/or directing calls to the appropriate parties.
  • Communicate directly, and on behalf of the CEO, with Executive team, and others on matters related to CEO’s priorities.
  • Work closely and effectively with the CEO to keep well informed of upcoming commitments and responsibilities, following up appropriately.
  • Coordinate and manage business travel, conference and meeting bookings and accommodation for the CEO while out of the office.
  • Complete a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing confidential correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Desired Candidate Profile

  • Bachelors in any field.
  • Masters/Diploma in management preferred.
  • 2- 5 years of experience in a similar role with 2 years of experience in a corporate environment.
  • Strong understanding of telephone etiquette.
