Job Description

Roles & Responsibilities

The role will provide support by handling front desk duties and assisting with the day to day office activities


Main Responsibilities

§ Handle front desk and assist on the day to day office activities

§ Welcome & assist company visitors, suppliers etc

§ Offering visitors refreshments, coffee, order food, etc as required

§ Answering/ making calls as required & operate console switchboard.

§ Forwarding, recording, transferring calls orward calls to party, take messages when necessary, notify (by phone) employees that visitors have arrived.

§ Receive, sort and forward incoming mail.

§ Courier and parcel administration. Receive, sign and distribute parcels

§ Prepare Parcel for pick-up and delivery (FedEx, UPS, DHL etc.)

§ Handle office supplies, pantry items and office consumables

§ Update monthly extension listings and other front desk clerical works

§ Clerical duties such as photocopying, faxing, filing and collating, preparing brochures binding,

§ Office keeping & cleaning duties as required.

§ Assist on all office related issues, such as AC, photocopiers, etc.

§ Monitor equipment and report defects/ malfunctions for repairs & maintenance;

§ Calling for repairs; maintaining equipment inventories;

§ Prepare Entry Permits for external visitors / handymen to building management.

§ Stock list counting and maintaining of all promotional materials.

§ Scanning Business Cards and importing them to software

§ Providing promotional materials when required.

§ Maintains office supplies inventory

§ Assist on company events and marketing & promotional activities

§ Perform additional assignments as operational requirements


Desired Candidate Profile


University Qualifications:

Any graduate degree


Nature and length of previous experience:

At least 5 years’ experience on the same role


Specialist knowledge:

Operate console switchboard/ main telephone extensions

Knowledgeable of the standard office devices & equipment


Soft Skills and Personality traits:

Excellent communication skills (English)

Superb interpersonal & customer service skills

Confident, hardworking, flexible, motivated, high-energy
