Role Overview

The Personal Assistant (PA) to the Director will provide high-level confidential executive, administrative, and strategic support to the Director. The role requires exceptional organizational skills, discretion, business acumen, and the ability to manage multiple priorities in a fast-paced corporate environment.

Key Responsibilities

1. Executive Support

Manage Directors calendar, appointments, meetings, and travel arrangements (domestic & international).
Coordinate internal and external meetings, prepare agendas, presentations, and minutes of meeting (MoM).
Act as the primary point of contact between the Director and internal/external stakeholders.
Screen and prioritize emails, calls, and correspondence.
2. Administrative & Coordination

Draft professional emails, reports, business letters, and presentations.
Maintain confidential records, files, and documentation.
Track action items and follow-ups from meetings.
Coordinate with department heads for reports, MIS, and updates.
3. Business & Strategic Support

Assist in preparing business proposals, financial summaries, and management reports.
Support project tracking and ensure timelines are adhered to.
Conduct research, compile data, and prepare briefing notes for decision-making.
Liaise with clients, vendors, government authorities, and partners when required.
4. Travel & Event Management

Arrange visa processing, accommodation, transport, and itineraries.
Organize board meetings, investor meetings, and corporate events.
Ensure smooth protocol arrangements for VIP visits.
5. Confidentiality & Compliance

Handle sensitive information with strict confidentiality.
Ensure documentation and correspondence comply with UAE business standards.
Maintain professional discretion at all times.
Key Requirements

Education

Bachelors degree in Business Administration, Management, or related field.
MBA preferred.
Experience

5–10 years of experience as Executive Assistant / Personal Assistant to CXO/Director level.
Experience in UAE corporate environment preferred.
Exposure to trading/manufacturing/infrastructure sector is an advantage.
Skills & Competencies

Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
High level of discretion and integrity.
Proficiency in MS Office (Excel, PowerPoint, Outlook).
Ability to work under pressure and manage tight deadlines.
Strong coordination and stakeholder management skills.

Desired Candidate Profile

Education

  • Bachelors degree in Business Administration, Management, or related field.
