Job Description

Roles & Responsibilities

  • Proactively manage the Principal's complex calendar, scheduling meetings, travel, and personal appointments with meticulous detail and anticipating potential conflicts.
  • Act as the primary gatekeeper, screening all communications (calls, emails, mail) and ensuring only essential matters reach the Principal, prioritizing and filtering information effectively.
  • Prepare and manage confidential correspondence, presentations, and reports, ensuring accuracy, professional formatting, and adhering to strict confidentiality protocols.
  • Coordinate and oversee travel arrangements, including flights, accommodation, transportation, and itineraries, handling all logistics with precision and efficiency.
  • Manage and maintain the Principal's personal and professional files, records, and databases, ensuring organization, accessibility, and data security.
  • Liaise with internal and external stakeholders, including family members, business contacts, and vendors, representing the Principal with professionalism and diplomacy.
  • Handle personal errands and tasks as required, such as shopping, managing household staff, and coordinating personal appointments, providing comprehensive support.
  • Conduct research and gather information as needed, compiling data, preparing briefs, and summarizing complex topics to support the Principal's decision-making.
  • Manage expenses and financial records, processing invoices, tracking payments, and preparing expense reports, maintaining financial accuracy and accountability.
  • Maintain a high level of discretion and confidentiality, handling sensitive information with utmost care and integrity, building and maintaining trust.

Desired Candidate Profile

  • Possesses a Bachelor's degree in Business Administration, Management, or a related field, demonstrating a strong academic foundation.
  • Holds a relevant professional certification, such as a Certified Administrative Professional (CAP), showcasing commitment to the profession.
  • Demonstrates prior experience within the high-net-worth individuals (HNWI) or executive support sector, understanding the nuances of the role.
  • Open to all nationalities, valuing diversity and cultural sensitivity within the workplace.
  • Fluent in English (written and spoken) is mandatory, with proficiency in additional languages like Arabic, French, or Spanish, a distinct advantage.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experienced with CRM systems, demonstrating technical competence.
  • Possesses exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Exhibits strong interpersonal and communication skills, including excellent written and verbal communication, building rapport with diverse stakeholders.
  • Displays discretion, integrity, and a strong sense of personal responsibility, ensuring confidentiality and trustworthiness in all interactions.
