Job Description
Roles & Responsibilities
The primary objective of the Receptionist is to greet customers, answer questions, announce calls and provide directions related to the whole On Time Group and to answer a multi-line switchboard quickly and direct calls to their destination without delay.
1. Productivity – ensure that reception queue and inquiries are processed in an accurate and timely manner. 2. Customer Satisfaction – ensure that customers’ concerns and issues are addressed within the given timeframe and adequate attention is provided to convert satisfied customers to become loyal customers. 3. Quality champion – responsible to ensure high-quality individual output. 4. Communication – timely and effective communication with internal teams, organization and clients on new service and solution related requirements and procedures. 5. Attendance – responsible for ensuring that unexcused individual absences are eliminated 6. ISO Compliance – follow the ISO processes that have been set-up in the department. To report any non-conformity with respect to the management system.
Desired Candidate Profile
1. Communicate and liaise verbally and in writing between customers/suppliers/visitors/enquirers and relevant staff, and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions. 2. Perform procurement duties: Purchase supply of products/materials, Determine the lowest cost for products/materials , Track and record orders , Receive orders and document arrivals etc 3. Log information on calls received, where required and maintain detailed and accurate records. 4. File data and perform other routine clerical tasks as assigned and for other departments as needed. 5. Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, fax, shredding machine and photocopy machine. 6. Establish and maintain effective working relationships with co-workers, supervisors and the general public. 7. Perform reception duties in and efficient, professional and courteous manner. 8. Maintain regular consistent and professional attendance, punctuality, personal appearance, and adherence to relevant health & safety procedures. 9. Pursue personal development of skills and knowledge necessary for the effective performance of the role. 10. Perform admin work as needed by the Office of the CEO. 11. Ensure the order and arrangement of the meeting room, VIP room and reception area before any meeting or visit is within acceptable standards as done by the Office Assistant. 12. Perform other tasks which may be deemed necessary and essential by CEO Office Manager & the CEO.
