Job Description

Roles & Responsibilities

We are seeking an Administrator to oversee and ensure all employee visa related formalities for the company are carried out effectively and on time to ensure smooth HR processes and transition of the employees into and out of the company. The responsibilities include but not limited to:

  • Implement an accurate databases and filing system to maintain records of all departmental correspondence, documents & reports

  • Update, Maintain and store departmental and individual employee files and departmental documents in a confidential manner for documentation and record purposes ensuring easy retrieval

  • Handle all employee visa related formalities (including visa stamping/cancellation) for all employees of the company effectively and on time to ensure smooth Visa processes and transition of the employees into and out of the Company

  • Assist employees with requests to ensure all administrative support is offered to staff timely and efficiently

  • Coordinate training nominations for all employees and communication with staff and the Training Section for successful training programs for employees

  • Handle all internal and external correspondences for the department, ensure follow up and dispatch of the same

  • Typing of internal correspondences, memos, reports, preparation of presentations seeking inputs from the respective team members

  • Coordinating and schedule departmental meeting, prepare meeting agenda, follow up on attendance and record minutes of meeting

  • Offer general administrative support to Managers/Team members in various projects as and when required

  • Follow up on messages, issues and carry out various administrative tasks through effective coordination thus ensuring completion.

Desired Candidate Profile

  • A levels or equivalent

  • Computer literacy in MS Office – Word and Excel, knowledge in using fax

  • 1-2 years’ experience in general administration area.

  • Telephone Etiquette, Good communication skills and basic writing skills in English

  • Behavioral Competencies: Customer Service Orientation, Effective Communication, Interpersonal Ability, Attention to detail and quality, Teamwork, Initiative and Commitment, Continuous Learning.
