Job Description

Roles & Responsibilities

Key Responsibilities

  • Provide executive-level support and act as a trusted right hand to the Managing Director
  • Manage calendars, scheduling, and confidential correspondence with precision
  • Prepare and process invoices, packing lists, delivery advice, transfer of ownership, and shipping documentation
  • Maintain accurate financial records using QuickBooks and assist with basic accounting tasks in coordination with an external accounting agency
  • Coordinate logistics for deliveries, meetings, and travel arrangements
  • Liaise with clients, vendors, and business partners professionally and efficiently
  • Assist with videography and content tasks when needed (preferred but not mandatory)

Desired Candidate Profile

Qualifications & Skills

  • Minimum 3 yearsu2019 experience in a similar executive or personal assistant role
  • Intelligent, fast learner with a proven ability to work independently and handle multiple priorities
  • Experience with QuickBooks and strong understanding of business documentation workflows for international shipping
  • Background in logistics or accounting is a strong advantage
  • Excellent written and verbal communication skills
  • High level of discretion and ability to work closely with senior leadership
  • Videography/editing skills are a plus but not essential
