Roles & Responsibilities


Position Title: HR & Admin – Executive

Company Name: KNEST FORMWORK TRADING L.L.C

Joint Reporting: VP – HR & Legal and VP – Sales

Role Overview :

We are seeking a detail-oriented and highly organized HR & Admin Executive to

manage payroll, HR operations, administrative functions, visa and PRO coordination,

employee onboarding and offboarding, statutory compliance, and executive assistance

to VP – HR & Legal and VP – Sales. The role demands strong coordination skills, high

levels of confidentiality, and the ability to manage multiple responsibilities efficiently in

a fast-paced environment.

Key Responsibilities

  1. Payroll Management

  • Prepare and process monthly payroll for all employees in an accurate and timely

manner.

  • Maintain and validate employee attendance, leave records, overtime sheets, and

salary revisions.

  • Perform payroll reconciliations and coordinate closely with the Finance team for

salary disbursement.

  • Ensure full compliance with UAE Wage Protection System (WPS), MOHRE

(Ministry of Human Resources & Emiratisation) requirements, and applicable

labour regulations.

  1. HR Operations – Joining's & Exits

  • Manage end-to-end onboarding processes including issuance of offer letters,

documentation, induction, and system access.

  • Handle employee exit processes including resignation acceptance, clearance

formalities, final settlements, and issuance of experience letters.

  • Maintain complete and up-to-date employee records (both physical and digital).

  1. Visa & PRO Coordination

  • Coordinate with PROs and government authorities for employment visas,

renewals, Emirates ID, medical tests, visa cancellations, and related services.

  • Track visa and document expiry dates and ensure timely renewals.

  • Ensure strict compliance with MOHRE regulations, UAE labour law, and

immigration laws.

  1. Administration, Office Support & Travel Desk

  • Oversee day-to-day office administration, including office supplies, facilities

management, and vendor coordination.

  • Arrange employee and management travel bookings including air tickets, hotel

accommodation, local transportation, and visa-related travel documentation.

  • Act as the central Travel Desk for the organization, coordinating domestic and

international travel requirements.

  • Ensure cost-effective travel planning in line with company policies and obtain

necessary approvals.

  • Coordinate travel itineraries, ticket changes, cancellations, and

reimbursements.

  • Manage travel-related vendor relationships (travel agents, hotels, transport

providers).

  • Support smooth office operations and internal coordination across

departments.

  1. Compliance & Documentation

  • Maintain and update HR policies and procedures in line with MOHRE guidelines

and UAE Labour Law.

  • Ensure all employee and organizational documentation is complete, accurate,

and compliant (employment contracts, passports, Emirates IDs, insurance, etc.).

  • Support internal and external audits by providing required HR and administrative

documentation.

  1. Executive Assistant to VP – Sales

  • Manage schedules, appointments, calendars, and meetings.

  • Prepare reports, presentations, correspondence, and follow-ups as required.

  • Coordinate travel arrangements, events, and communications on behalf of the

executive.

  • Handle confidential and sensitive information with the highest level of

professionalism and discretion.

Desired Candidate Profile

Qualifications & Requirements

  • Filipino nationality – Mandatory

  • Bachelor’s degree in Human Resources, Business Administration, or a related

field.

  • Postgraduate qualification / Master’s degree in Human Resources (PG/Masters in

HR) will be preferred.

  • 1–3 years of HR & Administration experience in the UAE, preferably in a

combined HR/Admin role.

  • Strong working knowledge of MOHRE regulations, UAE Labour Law, visa

processes, and WPS payroll.

  • Excellent verbal and written communication skills in English.

  • High level of integrity, confidentiality, and ability to multitask.

  • Proficiency in MS Office applications (Excel, Word, PowerPoint).
