Roles & Responsibilities

**Job Summary:** We are seeking an organized and proactive Executive Secretary to provide high-level administrative support to our executive team. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role requires a high degree of professionalism and confidentiality, as you will be privy to sensitive information and decision-making processes. **Key Responsibilities:** - Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements. - Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism. - Act as a liaison between executives and various stakeholders, both internal and external, maintaining effective communication and relationships. - Organize and maintain filing systems, both electronic and physical, ensuring easy retrieval of information. - Assist in the preparation and monitoring of budgets, invoices, and expense reports. - Conduct research and compile data for reports and presentations as needed. - Facilitate meetings by preparing agendas, taking minutes, and following up on action items. - Handle confidential information with discretion and professionalism. - Assist with special projects and other duties as assigned. **Qualifications:** - Bachelor’s degree in Business Administration, Communications, or a related field preferred. - Proven experience as an executive secretary or in a similar administrative support role. - Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. - Strong organizational and time-management skills with the ability to prioritize tasks effectively. - Excellent verbal and written communication skills. - Ability to work independently and as part of a team. - High level of discretion and confidentiality.
