Job Description

An Office Administrative Assistant plays a crucial role in supporting the daily operations of a business by managing administrative tasks, coordinating office activities, and ensuring a smooth workflow. An Office Administrative Assistant is responsible for a variety of duties that assist in the efficient operation of the office, including scheduling appointments, managing correspondence, and maintaining filing systems. Responsibilities
  • Coordinate and manage schedules and appointments for senior staff members.
  • Maintain and organize physical and digital office filing systems effectively.
  • Prepare and distribute official correspondence through emails, letters, and phone calls.
  • Assist in arranging office meetings, including preparing agendas and taking minutes.
  • Manage office supplies inventory, ordering and restocking as needed for efficiency.
  • Provide administrative support across various teams and departments when required.
  • Facilitate communication between employees, departments, and external contacts seamlessly.
  • Ensure office operations follow company policies and administrative procedures.
  • Handle incoming calls, direct them to appropriate departments, and manage inquiries.
  • Conduct basic bookkeeping tasks and manage petty cash, staying organized.
  • Assist in travel arrangements and logistics for office staff as needed.
  • Support the preparation of reports, presentations, and data management for projects.

Requirements
  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as an administrative assistant or office manager is preferred.
  • Excellent organizational skills with attention to detail and precision.
  • Proficient in Microsoft Office Suite and office management software tools.
  • Strong written and verbal communication skills for effective interaction.
  • Ability to prioritize tasks and work efficiently under tight deadlines.
  • Demonstrated ability to maintain confidentiality and handle sensitive data discreetly.
