Roles & Responsibilities

The Office Assistant is responsible for maintaining cleanliness within the office premises, assisting with administrative tasks, supporting daily office operations, and ensuring smooth coordination between departments. This role also includes basic hospitality duties, document handling, and reception support when needed.

Desired Candidate Profile

  • Clean and maintain office areas, including workstations, meeting rooms, and common areas.
  • Ensure washrooms are clean, hygienic, and well-stocked with necessary supplies.
  • Maintain the cleanliness of the pantry and visitor areas.
  • Carry documents between departments for signatures and approvals.
  • Ensure timely delivery and collection of documents.
  • File physical documents into employee or departmental folders as instructed.
  • Make and serve tea, coffee, and water for guests and senior staff.
  • Maintain the cleanliness and organization of the beverage preparation area.
  • Prepare refreshments during meetings or when requested.
  • Sit at the reception desk when the receptionist is on break or absent.
  • Answer and transfer incoming calls professionally.
  • Attend to walk-in visitors and assist with visitor registration.
  • Maintain visitor logs and provide basic information as required.
  • Monitor stock levels of office supplies, stationery, and cleaning materials.
  • Arrange, order, and replenish supplies when needed.
  • Maintain records of usage and coordinate with vendors for purchase orders.

Requirements:

  • Previous experience as an office helper, cleaner, or office assistant is an advantage.
  • Familiarity with basic office procedures preferred.
  • Ability to manage multiple small tasks efficiently.
  • Good personal hygiene and a sense of cleanliness.
  • Polite, respectful, and service-oriented behavior.
  • Ability to follow instructions and complete tasks on time.
  • High school education or equivalent preferred.
  • Basic communication skills (verbal and written).
