Roles & Responsibilities


Personal Assistant - HR & Property Administration


1. Executive & Personal Assistant Support

  • Diary, email, and correspondence management
  • Preparation of documents, reports, and presentations
  • Coordination of meetings, agendas, minutes, and follow-up actions
  • Liaison with internal and external stakeholders
  • Travel planning and logistics coordination as required
  • Secure filing and document management

2. Human Resources Administration Support

  • Maintain accurate employee records, including contracts, onboarding documents, certifications, and leave records
  • Support recruitment administration, including advertising, interview scheduling, and documentation
  • Coordinate onboarding and offboarding processes
  • Track employee leave, training, and compliance requirements
  • Support implementation and administration of HR policies
  • Handle HR-related information with strict confidentiality

Note: This role provides administrative support only and does not conduct performance management or disciplinary action.


3. Rental Portfolio Administration

  • Maintain records for residential rental properties, including leases, compliance certificates, insurance, and maintenance histories
  • Liaise with property managers, real estate agents, contractors, and service providers
  • Coordinate routine maintenance, inspections, and repairs
  • Track rental income, expenses, and key dates
  • Prepare documentation for accountants and advisors
  • Ensure property records are accurate and audit-ready

4. Compliance, Confidentiality & Risk

  • Manage personal, financial, and employee data securely
  • Follow privacy and confidentiality requirements
  • Escalate risks, issues, or compliance concerns appropriately
  • Support a professional and safe working environment

Desired Candidate Profile


Essential

  • Experience as a Personal Assistant, Executive Assistant, or Senior Administrator
  • Strong organisational and time-management skills
  • High level of discretion and professionalism
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office

Desirable

  • Family office or executive support experience
  • Familiarity with HR systems or payroll coordination
  • Experience supporting residential rental portfolios

Role Overview

The Personal Assistant provides trusted administrative support across human resources administration and family rental property administration. The role requires a high level of discretion, strong organisational skills, and the ability to manage sensitive information professionally.
