Roles & Responsibilities
Job Title: Receptionist & Secretary Location: Dubai, UAE Industry: Legal Consultancy / Law Firm Job Summary We are seeking a professional, well-organized, and reliable Receptionist & Secretary to join our legal consultancy firm in Dubai. The successful candidate will be the first point of contact for clients and visitors and will provide comprehensive administrative and secretarial support to the legal team, ensuring the smooth daily operation of the office. Key Responsibilities Reception & Front Desk Duties: • Greet clients and visitors in a courteous and professional manner • Answer, screen, and direct incoming phone calls and emails • Manage appointments, meeting schedules, and conference room bookings • Receive, record, and distribute incoming mail, couriers, and documents Secretarial & Administrative Support: • Prepare, format, and type legal correspondence, reports, and documents • Maintain and organize physical and electronic filing systems • Assist in preparing case files and supporting documentation • Coordinate with courts, government authorities, translation offices, and other external parties as required • Track deadlines, hearings, and follow-ups, and remind relevant team members accordingly Office Coordination: • Maintain office supplies and coordinate with vendors when required • Assist with invoicing, payment follow-ups, and record-keeping • Ensure confidentiality and proper handling of sensitive legal information • Support lawyers and consultants with daily administrative tasks Requirements & Qualifications • Minimum 1–2 years of experience in a receptionist or secretary role (experience in a legal firm is an advantage) • Strong communication skills in English • Proficient in MS Office (Word, Excel, Outlook) • Excellent organizational and time-management skills • Professional appearance and demeanor • Ability to handle confidential information with discretion Skills & Competencies • Attention to detail and accuracy • Strong interpersonal and customer service skills • Ability to multitask and work under pressure • Good coordination and follow-up skills • Familiarity with legal terminology and court procedures in the UAE is a plus Working Conditions • Full-time position • Office-based role in Dubai
