Roles & Responsibilities
- Job Summary:
- We are seeking a friendly, organized, and reliable Receptionist / Office Assistant to serve as the first point of contact for our organization. The ideal candidate will manage front desk operations, provide administrative support, and assist with daily office tasks to ensure smooth and efficient operations.
- Key Responsibilities:
- Reception & Front Desk Duties:
- Greet visitors and clients in a professional and welcoming manner
- Answer, screen, and direct incoming phone calls
- Maintain the reception area to ensure a clean and professional appearance
- Handle incoming and outgoing mail and deliveries
- Administrative & Office Support:
- Perform general clerical duties including filing, photocopying, scanning, and data entry
- Schedule appointments, meetings, and maintain calendars
- Assist with preparing documents, reports, and correspondence
- Maintain office supplies inventory and place orders as needed
- Coordination & Support:
- Support management and staff with administrative tasks
- Assist in organizing meetings, events, and office activities
- Maintain accurate records and files (physical and digital)
Desired Candidate Profile
- High school diploma or equivalent is required; an associate's degree is a plus.
- Prior experience in an office or customer service role, demonstrating familiarity with administrative tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software is essential.
- Excellent communication and interpersonal skills, capable of interacting effectively with diverse individuals.
- Exceptional phone etiquette and customer service skills, providing a welcoming and professional experience.
- Ability to maintain confidentiality and handle sensitive information with discretion is non-negotiable.
- Ability to work independently and as part of a team, adapting to changing priorities in a fast-paced environment.
- Ability to remain calm and composed under pressure, resolving issues with a positive attitude.
- Fluency in English is required; additional language skills are highly desirable for client interaction.
- Strong organizational and time-management skills, capable of multitasking and prioritizing tasks effectively.
