Job Description
Roles & Responsibilities
1. Attend to all telephone calls, render excellent service and positive responses to clients and customers, and provide timely feedback to concerned parties on behalf of the CEO. 2. Manage the daily incoming and outgoing correspondence on the CEO’s behalf. 3. Monitor and record both incoming and outgoing calls for the CEO. 4. Handle incoming visitors for the CEO and attend to them in a proper and courteous manner. 5. Take minutes of meetings and distribute them accordingly. 6. Communicate and relate to all levels of the organization, especially those who need assistance from the CEO. 7. Resolve issues and concerns related to the completion of assigned tasks. 8. Maintain filing and documentation of classified and confidential documents in the CEO’s office. 9. Perform work on time according to schedules and meet deadlines. 10. Manage work pressure and deliver results under tight timelines. 11. Manage team performance and provide coaching, training, and mentoring to all staff reporting to the Office of the CEO. 12. Perform other tasks deemed necessary and essential by the CEO.
Desired Candidate Profile
1. Productivity – Timely and effective correspondence and coordination with internal and external parties on behalf of the Executive Secretary and CEO. 2. Records Management – Ensuring the proper creation, maintenance, use, confidentiality, and disposal of all official and corporate records. 3. Administrative Support – Providing sufficient administrative support to the Executive Secretary and CEO’s office, including data collection, reporting, and office management. 4. Telephone Coverage – Ensuring all incoming calls to the Executive Secretary and CEO are properly attended to and maintaining accurate call logs. 5. Filing – Creating, organizing, and maintaining an effective filing system for all confidential documents within the Executive Secretary and CEO’s offices. 6. Communication – Ensuring timely and effective communication of instructions, service requirements, solutions, and procedures from the Executive Secretary and CEO’s Office to internal teams and the organization. 7. Attendance – Supporting attendance monitoring and ensuring compliance with attendance policies to minimize unexcused absences. 8. ISO Compliance - Following established ISO processes within the department and reporting any non-conformities related to the management system.
