Job Description
Roles & Responsibilities
Job Description
You will be responsible for assisting and coordinating Human Resource operation, coordinating with Doctors, Nurse, Technicians and other employees. Ensuring the communication and implementation of Human resource process and policies and support in various statutory audits
Responsibilities
3.1 Attendance and Payroll
3.1.1 To maintain and track the attendance of all the employees in the organization.
3.1.2 To prepare the payroll inputs regarding resignation, termination, absconding cases, salary hold and any authorised deduction from salary and share with payroll team.
3.1.3 Assist in employee Scheduling and Monitoring.
3.2 Onboarding process
3.2.1 Prepare and complete the joining formalities for new joiner on day one and assist him with necessary resource.
3.2.2 Ensure activation of ERP and creation of HIS IDs & E-mail Ids.
3.2.3 Arrange Uniform for eligible employees.
3.2.4 Coordinate for creation of Company id card, access card, parking access and Business cards for the employees.
3.2.5 Register biometric for recording and tracking employee attendance.
3.2.6 Preparing personnel file for employees.
3.3 Offboarding Process
3.3.1 Ensuring completion of exit interview, online clearance from respective departments and coordinate with offboarding team in corporate for further process.
3.4 Privileging Process
3.4.1 Implement effectively the process of granting physician privilege and ensure completion of DOCP form for new joiner and renewal of DOCP for existing employees.
3.4.2 Participate in Credentialing and Privileging committee meeting and assist in review and approval of DOCP forms.
3.5 Performance Management
3.5.1 Coordinate with HODs/supervisor and employees the periodic appraisal and competency assessment for eligible employees.
3.6 Employee Data Management
3.6.1 Maintaining and update Master data for all employees.
3.6.2 Creates and completes reports and analytics monthly, quarterly, and ad hoc basis.
3.6.3 Preparing Reports & MIS for Management to track strategic goal accomplishment.
3.6.4 Prepare departmental KPI data.
3.7 Community Based Doctors
3.7.1 Ensure proper documentation for community based doctors on time to facilitate their services at NMCRH.
3.7.2 Preparing letters/ correspondence for necessary authorization.
3.7.3 File management for CBDs.
3.8 Disciplinary process
3.8.1 Establish and manage a clearly defined disciplinary process.
3.8.2 Prepare and Issue show cause Notice, Advice letter, warning letter, termination letters in consultation with Manager/supervisor.
3.9 Training and Development
3.9.1 Coordinate for orientation of new employees.
3.9.2 Coordinate with other department for preparing Annual Training calendar.
3.9.3 Ensure Clinical employees have completed mandatory training certificate like BLS/ACLS/PALS/NRP/ATLS and have valid certificate.
3.10 Recruitment process
3.10.1 Coordinate and assist HODs in raising PCN and manpower requisition in NMC connect.
3.11 Other Activities
3.11.1 Creation and maintaining of Job Descriptions for approved positions in the organization.
3.11.2 Employee relations, grievance handling and complaint management
3.11.3 Actively participates and assist in JCI /DOH/OSHAD/ADHICS and other statutory audits .
3.11.4 Coordination and support for HR related issues with other units under cluster.
3.11.5 Assist employee in license upgradation process.
3.11.6 Assumes other duties as assigned by the supervisor.
3.12 Comply with all OSH (Occupational Health And Safety) and infection control policies, standards and procedures
and cooperate with hospital management to comply those requirements
3.13 Work accordance with the documented OSH procedures and instructions, specific responsibilities
3.14 Be familiar with emergency and evacuation procedures
3.15 Notifying OSH Hazards, incidents, Near misses and issues and assistance with the preparation of risk
assessments, incident reports
3.16 Comply with Waste management procedures and policies
3.17 Attend applicable OSH/Infection control training programs, mock drills and awareness programs
3.18 Use of appropriate personal protective equipment and safety systems
3.19 Ensure Compliance with Federal and local legislations/regulations related occupational health and safety e.g.
medical surveillance.
3.20 Ensure OSH roles, responsibilities and authorities are clearly defined, documented and communicated to
appropriate staff members through Job Descriptions and performance is assessed for the same.
3.21 Planning and coordination of orientation/induction programs, trainings and maintaining appropriate records as
per the Federal, local, OSHMS and NMCRH requirements.
3.22 Ensuring that staff are periodically assessed and have relevant OSH competencies i.e. general and task based
competencies.
3.23 Provide information and statistics to assist in the calculation of the KPIs
Desired Candidate Profile
Qualifications
Bachelor’s degree in Human resources or equivalent - Master’s degree will be an advantage.
3-6 years of experience in relevant field, Healthcare experience in UAE will be an advantage.
Proficient in using HRMS and MS Office.
With good spoken and written English communication skills. Arabic language is advantageous/desirable.
Knowledge of UAE labor laws, general knowledge of various employment laws and practices of the country.
Customer relation skills (People Skills)
Good interpersonal skills.
Able to exhibit a high level of confidentiality
