Roles & Responsibilities
• Comprehensive diary management, both personal and business, ensuring seamless scheduling and coordination across multiple time zones, including the US, Europe, Asia, and the Middle East • Comprehensive international travel arrangements, visas, flights, luxury accommodations, and airport transfers including private jet arrangements and itineraries • Process expenses, track and submit expenses/refunds • Organise meetings, appointments, dinners, and events • Conduct research for various tasks and projects, including personal travel • Management of personal and household shopping and supplies • Manage household supplies and occasionally oversee contractors • Personal shopping and arranging gifts • Draft and proofread letters and documents • Handle other ad hoc administrative tasks as needed
Desired Candidate Profile
We are seeking an experienced travelling Personal Executive Assistant to provide dedicated 1:1 support to a highly successful and professional HNWI, with occasional business support. The ideal candidate must have exceptional organisational skills and attention to details, delivering the highest standards in every aspect of their work. They must be proactive and solution oriented. The principal is always on the move, and you will be responsible for ensuring that everything runs smoothly. You should have the flexibility to work out of hours, including weekends mainly when the principal is traveling. You will need to be adept at forming relationships and gaining the trust of the principal. Additionally, you will manage their diary, ensuring they are in the right place at the right time and allowing them to delegate tasks that do not require their direct involvement. Fast paced, hectic environment but rewarding. The ideal candidate must be willing to travel to Europe on rare occasions.
• At least 4 years of experience as an Executive and Private Assistant, including VIP and luxury lifestyle support • Strong preference for degree educated candidates • Ability to work under pressure and balance priorities • Excellent communication skills, both written and verbal (in English) • Highly trustworthy, loyal, and professional, with the ability to handle confidential and sensitive information • Tech-savvy, with excellent proficiency in MS Office, including Word, Outlook, Excel, and PowerPoint • Proactive and able to take initiative • Commercially aware • Extremely organised • Must be accustomed to dealing with external suppliers and agents, as well as negotiating rates and services • Excellent, checkable references are essential - at least 2 • Seeking someone for the long term at least 3-4 years, making longevity very important • Valid and clean driving licence • Polite, diplomatic, and capable of handling tasks with care and consideration • Must be able to travel to Europe on rare occasions
