Job Description

Roles & Responsibilities

  • Manage calendars, schedule meetings, appointments across international time zones.

  • Organize travel itineraries, visa arrangements, accommodations, and logistics.

  • Prepare reports, presentations, and business correspondence.

  • Coordinate internal and external meetings, including agenda planning and preparing minutes of meetings.

  • Handle confidential documents and ensure safe & efficient record/ data management.

  • Liaise with internal teams, clients, and external stakeholders on behalf of Global CEO.

  • Assist in project follow-ups, task tracking, and ensuring timely completion of action items.

  • Manage expense reports, approvals, and reimbursement processes.

  • Perform general administrative tasks and support office operations as needed.

  • Ensure all expense are made on time such as credit card payments, Insurance premium etc.

Desired Candidate Profile

  • Any Graduate with 12 + years of Executive / secretarial experience of which 6 + years should be at C level.

  • Should have experience of working with diverse senior executives at global level.

  • Excellent verbal and written communication skills. Proficient in MS Office (Outlook, Word, Excel, PowerPoint) and other communication tools.

  • Proficiency in managing executive reports, global calendar management, travel management (International travel booking is must) including forex, visa, transport, and accommodation.

  • Experience in handling expenses & reimbursement.

  • High degree of multi-tasking and time management capability.

  • Eye for detail and excellent stakeholder management abilities.
