Job Description
Roles & Responsibilities
The HR Executive cum Admin Assistant plays an integral role in supporting HR and administrative functions across all departments within the real estate business. The role ensures that departmental requirements are aligned with organizational priorities, policies, and manpower planning frameworks. It contributes to both HR operations and administrative excellence by facilitating smooth processes, maintaining accurate documentation, and enabling efficient communication between teams and leadership.
Responsibilities & Duties:
Office Administration & Operations:
- Manage all day-to-day administrative tasks for the Dubai office, ensuring a professional and efficient work environment.
- Act as the primary point of contact for office management, including supplies, maintenance, and vendor relationships.
- Provide comprehensive support to the Finance, IT, PR, Marketing, and Sales departments by addressing their operational issues and facilitating their requirements.
Human Resources Management:
- Oversee all HR functions for the Dubai office, including but not limited to employee records, onboarding, and offboarding.
- Serve as the first point of contact for employee queries and support line managers with HR processes.
- Assist in the implementation of company policies and ensure local compliance.
Customer Service & Client Relations
- Act as a key liaison for clients, resolving queries promptly and effectively to ensure high levels of client satisfaction.
- Coordinate with CRM representatives to maintain accurate client records and follow up on service issues.
Collections & Financial Coordination:
- Support the collections process by assisting clients with payment inquiries and procedures (cash or checks).
- Work closely with the collection officer to confirm payment details and ensure accurate financial records.
Reporting & Performance Monitoring
- Prepare consolidated HR and admin reports for management review.
- Maintain HR trackers, dashboards, and manpower planning records using reporting tools and software.
- Provide timely insights and recommendations on HR operational efficiency.
Desired Candidate Profile
Qualifications Requirements:
- Bachelor’s degree in business administration, Human Resources, or a related field.
- Proven experience of 5+ years in a similar multi-faceted role, managing admin, HR, and customer service functions.
- Excellent command of English (both written and verbal); Arabic is a strong advantage.
- Highly organized, detail-oriented, and able to prioritize tasks in a fast-paced environment.
- Demonstrated problem-solving skills and a proactive approach to overcoming challenges.
- Discretion and confidentiality in handling sensitive HR and financial information.
- Strong organizational and coordination capabilities.
- Effective communication and interpersonal skills.
- Proficiency in reporting tools, HR systems, and MS Office (Excel – advanced level, pivot tables, dashboards, conditional formatting).
- Analytical mindset with attention to detail in reporting and compliance.
- Ability to manage multiple tasks with accuracy and confidentiality.
