Job Description

Roles & Responsibilities

Payroll Processing:

  • Execute end to end monthly payroll for all permanent, temporary and contractual employees.
  • Consolidate fixed and variable salary components, including allowances, commissions, incentives, overtime and bonuses.
  • Apply variable deductions such as absences, penalties, loan recoveries, stock variance, traffic fines and salary advances.
  • Update and maintain records for new joiners, resignations, terminations, increments, contract renewals and status changes.

Data Collection & Verification:

  • Collect and validate pre-payroll inputs including attendance, leave records, absenteeism, extra breaks and performance metrics.
  • Coordinate with department heads for confirmation of variable pay, deductions and exceptional cases.
  • Ensure all payroll data is supported by approved trackers, emails and departmental approvals.

Payroll Review & Approval:

  • Prepare payroll summaries and highlight salary variations, high deductions and exceptional cases for management review.
  • Obtain final payroll approval from designated authorities before processing.

Salary Disbursement:

  • Upload approved payroll to bank systems and execute salary transfers as per the payroll calendar.
  • Generate and distribute payslips to employees.
  • Ensure post-disbursement reporting to Finance, including salary and gratuity reports.

Post-Payroll Closure & Handover:

  • Archive payroll reports and close trackers for the month.
  • Prepare payroll handover files, ensuring business continuity.
  • Track and carry forward pending payroll issues to the next cycle.

Controls & Compliance:

  • Ensure payroll processing adheres to deadlines, approvals and supporting documentation requirements.
  • Maintain confidentiality and security of all payroll data.
  • Retain payroll records for audit and regulatory compliance.

Reports & Documentation:

  • Payroll register, bank transfer confirmations, payslips, HRMS logs, approval records.
  • Salary and gratuity reports shared with the Finance team post-disbursement.
  • Updated trackers for attendance, variable pay/deductions, loans, advances and arrears.

Desired Candidate Profile

  • Strong knowledge of payroll systems, UAE Labour Law and statutory compliance.
  • Proficiency in MS Excel and HRMS/payroll software.
  • Bachelor’s degree in HR, Finance or related field.
  • Minimum 2–4 years of experience in payroll administration (UAE).
  • Experience handling multi-department payrolls and complex variable pay/deductions.
