Job Description

Roles & Responsibilities

• Develop and maintain the Chairman’s business and personal agenda on a regular basis and liaise with Sr. Manager Corporate Affairs for all important business meetings.

• Arrange for the Chairman/Group CEO/Managing Director’s appointments and create daily itineraries when required, ensuring all needed documents are printed.

• Arrange for special events as required by the Chairman/Group CEO/Managing Director and coordinate with internal departments and/or third parties to ensure the respective occasion is properly organized.

• Ensure smooth communication between the GMs/Business heads and the Chairman/Group CEO/Managing Director, following up on all queries in a timely manner.

• Organize periodical management meetings, including preparing the agenda, collecting presentations/materials, and ensuring the proper setup of the venue.

• Attend phone calls, emails, and official correspondents to and from the Chairman/Group CEO/Managing Director’s office, ensuring the Chairman/Group CEO/Managing Director’s mail and email are properly sorted, prioritized, and routed. • Ensure the office equipment is functional at all times, the meetings’ setup is appropriate, and the office supplies maintain a proper stock level.

• Greet visitors politely and accompany them to the meeting place.

• Coordinate and manage travel arrangements, bookings, and hotel reservations. • Proofread and edit documents.

• Create and maintain a comprehensive filing system to ensure all documents are recorded, properly filed, and easily retrieved when needed.

• Assist other Departments/BUs on various assignments to ensure that the work is completed as per the Chairman/Group CEO/Managing Director’s requirements.


Desired Candidate Profile

Minimum of 5 years of experience in an executive assistant or personal assistant role, preferably supporting senior executives.

Educational Qualifications and Certifications

• Bachelor’s degree in Business Administration, Office Management, or a related field.

• PMP certification is a plus.

• Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
