Job Description

Roles & Responsibilities

  • Proactively manage complex calendars, scheduling meetings, and coordinating travel arrangements with meticulous attention to detail, ensuring seamless logistics.
  • Screen and prioritize incoming communications, including emails, calls, and mail, handling sensitive information with discretion and professionalism.
  • Prepare and edit documents, reports, and presentations, ensuring accuracy, clarity, and adherence to brand guidelines.
  • Conduct research, gather information, and compile data for projects and reports, providing insightful summaries and analysis.
  • Manage expense reports, track budgets, and handle financial transactions with accuracy and adherence to company policies.
  • Coordinate and oversee special projects, events, and initiatives, ensuring successful execution and timely completion.
  • Maintain organized filing systems, both physical and digital, ensuring easy accessibility and retrieval of information.
  • Act as a liaison between the executive and internal/external stakeholders, building and maintaining strong relationships.
  • Handle confidential information with utmost discretion and maintain a high level of professionalism and ethical conduct.
  • Anticipate needs and proactively identify opportunities to improve efficiency and support the executive's goals.

Desired Candidate Profile

  • A Bachelor's degree in Business Administration, Communications, or a related field.
  • Minimum 10 years of experience supporting senior executives or high-profile individuals.
  • Proven experience in a fast-paced environment, demonstrating the ability to manage multiple priorities effectively.
  • Exceptional organizational and time-management skills, with a strong attention to detail and accuracy.
  • Excellent written and verbal communication skills, with the ability to interact professionally with all levels of stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong interpersonal skills, with the ability to build rapport and maintain confidentiality.
  • Ability to work independently and proactively, taking initiative and anticipating needs.
  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
  • Fluency in English (written and spoken); proficiency in a second language is a plus.
