Job Description
Roles & Responsibilities
- Manage Director calendars by coordinating meetings, appointments, and travel itineraries to optimize time management and enhance productivity.
- Act as a liaison between Director and internal/external stakeholders, representing the organization professionally while maintaining confidentiality.
- Organize and maintain filing systems, both electronic and physical, ensuring efficient retrieval of documents and compliance with data protection regulations.
- Act as a gatekeeper by screening calls and emails, prioritizing communications, and responding on behalf of the Director when appropriate.
- Coordinate travel arrangements, including itineraries, accommodations, and transportation, while ensuring a seamless travel experience.
- Prepare and edit correspondence, presentations, and other documents, maintaining a high standard of professionalism and accuracy.
- Facilitate communication across departments by ensuring timely updates and follow-ups on action items and projects.
- Organize and maintain filing systems, both electronic and physical, for easy retrieval and efficient workflow.
- Support personal tasks as needed, displaying discretion and confidentiality in handling sensitive information.
- Prepare agendas and take minutes during meetings, ensuring that key decisions and action items are documented and communicated effectively.
- Monitor and respond to emails and inquiries on behalf of Director, prioritizing urgent matters and maintaining professional communication.
- Assist in personal tasks as required, showcasing adaptability and a willingness to support Director in both professional and personal capacities.
- Continuously seek opportunities for process improvements, identifying and implementing tools or methods that enhance office efficiency.
Desired Candidate Profile
- Bachelor's degree in business administration or a related field, providing a solid foundation in organizational and management principles.
- At least 3-5 years of experience in an administrative support role, preferably within a corporate environment, demonstrating relevant expertise.
- Excellent verbal and written communication skills in English, with a preference for candidates who can communicate in additional languages.
- Strong organizational skills, reflected in your ability to prioritize tasks and manage multiple projects simultaneously.
- High level of discretion and confidentiality, essential for handling sensitive information and personal matters of the executive.
- Demonstrated proficiency in Microsoft Office Suite and other relevant software, showcasing your technical abilities.
- Ability to adapt to a fast-paced environment, showcasing resilience and a proactive approach to problem-solving.
- Strong interpersonal skills, allowing for effective collaboration with diverse teams and stakeholders.
- A positive attitude and a willingness to take initiative, essential for providing comprehensive support to the executive.
- Proven track record of managing complex schedules and travel arrangements, showcasing strong attention to detail and time management.
