Job Description
Roles & Responsibilities
Executive Support
-
Manage the CEO s calendar, travel, and daily schedule.
-
Prepare executive briefs and research summaries ahead of key meetings (competitor updates, market trends, client background notes).
-
Assist in prioritization and decision-making by highlighting urgent items and suggesting actions proactively.
-
Represent the CEO in communications with stakeholders when direct access is not possible.
-
Handle executive correspondence with discretion and confidentiality.
-
Act as the communication bridge between the CEO, teams, and stakeholders.
-
Prepare reports, presentations, agendas, and meeting minutes.

Track, monitor, and follow up on key projects and deadlines across departments.
Legal & Compliance
-
Pre-screen legal and contractual documents (vendor agreements, service contracts, NDAs) for accuracy, completeness, and alignment with company policies before submission for legal/executive review.

Maintain the corporate compliance calendar (government filings, annual returns, renewals, tax submissions, contract dates) and coordinate with Legal and Finance, ensuring deadlines are met.

Update the CEO regularly on pending and completed compliance requirements.
Board Support
-
Prepare board packs (CEO s report, financials, strategic updates, KPIs, project updates, and proposals requiring approval) in coordination with relevant departments.

Draft and circulate meeting agendas in advance, ensuring alignment with Operations.

Track and follow up on board meeting actions to ensure timely execution.
Digital & Partner Engagement

Support CEO s digital presence (LinkedIn updates, external communications) in coordination with Marketing.

Manage partner relations scheduling, coordination, and follow-ups for professional engagement.

Leverage AI tools to streamline administrative tasks (expense reports, reminders, calendar coordination).
Personal Assistance

Coordinate personal appointments, travel, and errands for the CEO.

Provide flexible support to balance personal and professional priorities.
Office Management
-
Oversee daily office operations and act as the primary contact for office matters.

Liaise with building authorities and vendors to ensure smooth workspace operations (including parking and facilities).

Manage office supplies, resources, and overall facility requirements.

Budget and cost management for office-related expenses; track and suggest cost-saving opportunities.

Ensure health, safety, and security compliance (emergency drills, safety measures).
-
Coordinate office technology and systems (internet, printers, licenses), supporting IT to ensure staff have updated tools.

Drive culture and team engagement initiatives (celebrations, recognition, wellness activities).

Plan and execute office events and team activities.
-
Support HR/Operations with onboarding, inductions, and administrative needs.

Identify process inefficiencies in office operations and recommend improvements.
Desired Candidate Profile
Proven experience as an Executive Assistant, Personal Assistant, or Office Manager.
Ability to review and pre-screen legal/contractual documents with accuracy.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
High level of discretion and ability to handle sensitive information.
Proficiency in Google Workspace.
Familiarity with DMCC processes is an advantage.
