Job Description

Roles & Responsibilities

Executive Support:

  • Manage the executive’s daily calendar, appointments, meetings, and travel arrangements.
  • Prepare, review, and edit correspondence, reports, and presentations for internal and external use.
  • Handle confidential and sensitive information with discretion.
  • Serve as the primary point of contact between the executive office and internal departments or external partners.
  • Track key projects, deadlines, and follow-ups to ensure timely execution of management directives.

Administrative Management:

  • Maintain organized filing systems (electronic and physical) for easy retrieval of records.
  • Manage incoming and outgoing correspondence, including emails and official letters.
  • Prepare meeting agendas, take minutes, and distribute them promptly.
  • Support procurement of office supplies and manage administrative expenditures.
  • Coordinate logistics for meetings, events, and business trips.

Office Coordination:

  • Support the HR or Admin team with onboarding, office logistics, and employee communication when required.
  • Liaise with vendors, suppliers, and service providers to ensure smooth office operations.
  • Ensure compliance with office policies, procedures, and company standards.
  • Assist with documentation, visa, and licensing renewals (if applicable to role).

Communication and Reporting:

  • Draft professional business communication on behalf of the management.
  • Prepare and compile periodic reports, data summaries, and presentations.
  • Support coordination of executive-level meetings, including follow-up on action items.

Desired Candidate Profile

  • Bachelor’s Degree in Business Administration, Management, or related field.
  • Minimum 3–5 years of experience as an Executive Assistant, Personal Assistant, or Administrative Officer (experience in UAE preferred).
  • Excellent command of English & Arabic
