Job Description

Roles & Responsibilities

  1. Administrative / PA Support

  • Manage office administrative tasks, including maintaining important files (both digital and physical).

  • Organize and update the CEO’s calendar as needed.

  • Prepare presentations, reports, and other documentation.

  • Arrange meetings and take minutes when necessary.

  • Answer incoming calls and provide administrative assistance to all departments.

  • Check and respond to daily emails, coordinating with various departments such as external customers, sales teams, suppliers, logistics, and delivery services.

  • Coordinate all work-related travel arrangements for the CEO and employees, including flights, accommodation, transportation, and itineraries.

  1. General Support

  • Handle additional tasks assigned by management to support company operations.

  • Manage employee insurance and visa documentation.

  • Track and maintain employee attendance records.

  • Coordinate and edit ghost mannequin shoots for product images.

  • Prepare official documents such as offer letters, job descriptions, NDAs, and other contracts or agreements.

  • Support the CEO in organizing and coordinating seasonal collections by compiling her feedback on design, production, and marketing, communicating it to relevant departments, and maintaining detailed tracking sheets for samples, edits, and production milestones.

  • Organize events and venue arrangements as required.

  • Undertake other tasks as requested by management to ensure smooth company operations.

  • Working hours will be flexible and communicated separately.

  1. Task Execution & Coordination

  • Ensure all tasks and assignments are completed as per the CEO’s instructions and priorities.

  • Follow up on requests made by the CEO, ensuring tasks from any team member are executed accurately and on time.

  • Coordinate effectively across departments to maintain smooth workflow and meet deadlines.

  1. Operations & Logistics Management

  • Oversee order completion and ensure all related processes are carried out efficiently.

  • Manage the company driver’s schedule to minimize unnecessary trips and optimize time and cost.

  • Support logistics for deliveries, collections, and internal errands.

  1. Quality Control & Presentation

  • Supervise product quality checks in coordination with the inventory and QC teams.

  • Ensure all products are properly packed in shoppers and meet Onori’s quality standards.

  • Oversee and support photoshoots, including ghost mannequin shoots, to ensure accuracy and brand alignment.

  1. Shop & Office Management

  • Conduct random checks at the atelier to ensure the highest standards of presentation, organization, and cleanliness.

  • Maintain an organized, clean, and efficient office environment at all times.

  • Ensure all operational supplies and administrative needs are managed proactively.

  1. Executive Assistance

  • Provide day-to-day executive and administrative assistance to the CEO.

  • Maintain confidentiality and professionalism in all communications and activities.

  • Ensure all responsibilities are carried out in alignment with Onori’s values and standards
