We are seeking a detail-oriented and organized Office Administrative Assistant to join our dynamic team. This role is pivotal in ensuring efficient office operations by providing administrative support in a busy work environment. The ideal candidate will be proactive, able to multitask, and possess excellent communication skills. As an Office Administrative Assistant, you will handle a variety of tasks, such as scheduling meetings, maintaining office supplies, and providing general support to visitors. Responsibilities
- Manage and maintain the office calendar to ensure efficient schedule coordination.
- Answer phone calls, direct inquiries, and correspond via email professionally.
- Order and manage inventory of office supplies to ensure sufficient stock levels.
- Prepare and distribute memos, correspondence, and other office communications.
- Assist in organizing meetings, conferences, and company events as needed.
- Support the preparation of financial documents such as invoices and reports.
- Ensure the office is clean, organized, and conducive to a productive work environment.
- Maintain a filing system that is organized and accessible to authorized personnel.
- Greets and directs visitors, ensuring a positive first impression of the office.
- Provide administrative support to senior management and other departments.
- Maintain confidentiality regarding sensitive company information and documents.
- Assist in the onboarding process for new employees to ensure a smooth transition.
Requirements
- High school diploma or equivalent is required; an associate degree is a plus.
- Proven experience in an administrative or office support role is preferred.
- Proficiency in MS Office Suite, including Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills for effective correspondence.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Detail-oriented with the ability to maintain accuracy in a fast-paced environment.
- Professional demeanor and the ability to handle confidential information discreetly.
