Job Description

Roles & Responsibilities

To provide comprehensive administrative and clerical support to the Operations Manager and ensure the smooth functioning of office operations, documentation, and internal coordination across departments.

  • Prepare internal documents including inquiries, quotations, Local Purchase Orders (LPOs), delivery notes, and invoices.
  • Type and format administrative reports such as order summaries, inquiry updates, and statistical records.
  • Maintain systematic filing of all correspondence, reports, and documentation.
  • Schedule and coordinate appointments and meetings for the Operations Manager.
  • Photocopy, scan, and circulate correspondence and other printed materials as required.
  • Handle administrative processes such as:
  • Leave tracking
  • Employee timekeeping
  • Medical reimbursements
  • Security pass and insurance application coordination
  • Liaise with internal departments (HR, Finance, Administration) to ensure timely execution of admin tasks.
  • Monitor and maintain office supplies, documentation templates, and operational checklists.
  • Assist with compiling reports and other duties as assigned by the Operations Manager.

  • Internal Clients: Administration & HR, Accounts & Finance Departments
  • External Clients: As required by the role or on behalf of the Operations Manager
