Roles & Responsibilities


Key Responsibilities

Family & Personal Support

  • Coordinate schedules, appointments, and activities for all family members.

  • Manage family travel planning, itineraries, reservations, and logistics.

  • Support with school-related tasks, events, and communication for the child.

  • Oversee personal errands, shopping, deliveries, and household-related follow-ups.

  • Assist with organizing family events, celebrations, and gatherings.

  • Liaise with household service providers, maintenance teams, and vendors.

  • Maintain confidentiality and handle all personal information with the highest discretion.

Business & Executive Support

  • Manage calendars, appointments, and travel arrangements for Vishal Kirpalani.

  • Act as a communication gatekeeper for business-related scheduling and correspondence.

  • Prepare briefs, meeting notes, follow-ups, and documentation.

  • Coordinate with internal/external stakeholders including business partners, investors,

government entities, and service providers.

  • Assist with property-related documentation, renewals, and follow-up processes.

  • Draft letters, emails, and official communications.

  • Provide operational support across ongoing projects, workflows, investment activity, and

administrative matters.

Operations & Coordination

  • Maintain organized digital and physical filing systems for family and business

documentation.

  • Track renewals (visas, licenses, insurance, household services, etc.).

  • Manage payments, petty cash, and reimbursement processes as instructed.

  • Ensure seamless coordination across both personal and professional areas, anticipating

needs proactively.

Requirements

  • 3+ years of experience as a Personal Assistant, Executive Assistant, Family Assistant, or

similar hybrid role.

  • Excellent English communication skills (written and verbal).

  • Strong organizational, time-management, and multitasking abilities.

  • Proficiency in Microsoft Office (Outlook, Word, Excel).

  • Discretion and trustworthiness, particularly when handling personal and financial

information.

  • Experience in UAE real estate, family office support, or investment environments is an

advantage.

  • Valid UAE driving license preferred but not mandatory.

Working Hours

  • Standard office hours Monday–Friday (9:30am-7:30pm) and Saturday (9:30am-2pm),

with flexibility to support occasional family or business requirements outside standard

hours.
