Job Description

Roles & Responsibilities

We are seeking a highly professional Executive Assistant with strong exposure to VIP protocols, board-level coordination, and executive reporting. The ideal candidate will be confident in handling C-suite communication, preparing impactful presentations, managing Board Meeting documentation, and working extensively with Excel-based reports and dashboards.

Desired Candidate Profile

Executive & VIP Support

  • Provide high-level administrative and confidential support to the Chairman/CEO.

  • Manage VIP schedules, travel arrangements, meetings, and protocol requirements.

  • Act as the primary liaison with Board Members, senior stakeholders, and external VIPs.

  • Ensure strict adherence to professional etiquette, discretion, and protocol standards.

Board & Governance Support

  • Coordinate Board Meetings, Executive Committee meetings, and leadership reviews.

  • Prepare Board packs, agendas, minutes of meetings (MoM), and action trackers.

  • Draft and consolidate Board reports, presentations, and executive summaries.

  • Follow up on Board decisions and ensure timely closure of action items.

Presentations & Reporting

  • Develop high-quality PowerPoint presentations for Board and executive meetings.

  • Convert complex data into clear, professional, and visually strong presentations.

  • Maintain accuracy, consistency, and confidentiality in all reports.

Data & Excel Management

  • Prepare and manage Excel reports, trackers, dashboards, and MIS reports.

  • Analyze data using formulas, pivot tables, and charts to support decision-making.

  • Maintain executive databases, KPIs, and performance reports.

Communication & Administration

  • Draft professional correspondence, emails, memos, and official letters.

  • Manage calendars, prioritize meetings, and ensure seamless daily operations.

  • Handle confidential information with the highest level of integrity and discretion.

Required Skills & Competencies

  • Strong understanding of VIP protocols and executive office etiquette.

  • Excellent presentation and documentation skills.

  • Advanced proficiency in MS Excel (formulas, pivot tables, reporting).

  • High proficiency in PowerPoint and MS Word.

  • Exceptional organizational, multitasking, and time-management skills.

  • Strong verbal and written communication skills.

  • Ability to work under pressure and manage sensitive information.
