We re Hiring Personal Secretary

Reports To: Senior Management
We are looking for a highly organised and discreet Personal Secretary to provide direct administrative support to senior leadership at a private company in Dubai. The ideal candidate will be proactive, efficient with time-management, and comfortable handling both professional and personal tasks with confidentiality.

Key Responsibilities:

Manage executive calendars, schedule appointments and coordinate complex travel arrangements.
Handle incoming calls, emails and correspondence on behalf of senior managers.
Prepare reports, presentations and accurate meeting minutes.
Organise and maintain important documents, files and records.
Coordinate meetings, events and logistics with internal and external stakeholders.
Greet and screen visitors and manage day-to-day office administrative tasks.
Monitor and replenish office supplies as required.
Arrange domestic and international travel (flights, hotels, visas, transport) and maintain travel/expense records.
Assist with basic bookkeeping tasks such as data entry of invoices, receipts and petty cash; support simple reconciliations.
Perform personal errands and ad-hoc duties for executives when requested.

Requirements:

High school diploma required; Bachelor s degree preferred.
Minimum 2 years experience in an administrative or executive assistant role.
Prior experience supporting senior-level executives is a plus.
Familiarity with calendar and travel management tools is advantageous.
Valid UAE driving license (mandatory).
Excellent communication skills, discretion, meticulous attention to detail and strong organisational abilities.
