Job Description
Roles & Responsibilities
The Administration Assistant provides essential administrative and clerical support to ensure efficient operation of the office and factory, supporting various departments in a fast-paced manufacturing environment.
Role Responsibilities:
- Manage office communications: Answer phones, manage emails and mail, and handle correspondence.
- Handle scheduling and coordination: Coordinate meetings, manage calendars, and make travel arrangements.
- Maintain records and files: Create and maintain organized electronic and physical filing systems and databases.
- Prepare documents: Draft, edit, and format documents, reports, and presentations.
- Manage office supplies and inventory: Track and order office supplies and equipment.
- Perform clerical and data entry tasks: Handle data entry, bookkeeping, and expense tracking.
Educational Qualifications:
- High School Diploma (required)
- Diploma or certification in Business Administration or Office Management (preferred)
Experience:
- 1 3 years of administrative or clerical experience, preferably in a manufacturing or industrial setting
Behavioral Skills:
- Organizational skills: Ability to multitask, prioritize tasks, and maintain order.
- Communication skills: Strong written and verbal communication skills.
- Problem-solving abilities: Ability to handle challenges and find solutions.
- A professional demeanor, strong interpersonal skills, and the ability to handle confidential information.
- Time management: Excellent ability to manage time effectively.
Technical Skills:
- Proficiency in MS Office (Word, Excel, PowerPoint) and other office management software.
Familiarity with ERP systems (e.g., Oracle) is an advantage
